Printing and exporting
Export a presentation as a PDF, a Markdown outline or plain text, learn what each contains, and print by way of a PDF.
Export a copy
- In the title bar, click the download icon (tooltip Save a copy as).
- Choose PDF, Markdown outline or Plain text. (PowerPoint presentation saves a
.pptxcopy; see Save a copy in another format.) - In the save dialog, the presentation’s name is suggested with the new extension. Choose a folder, change the name if you like, and save.
The status bar says “Saved” followed by the new file’s name. The editor stays on your presentation; the exported file is a separate copy. Exporting doesn’t need the presentation to be saved first — it uses what’s on screen.
What the PDF contains
- One page for each slide that isn’t hidden, in order. Each page is the size of the slide (for example 960 × 540 points for 16:9).
- The slide’s background colour, including a colour you chose with Slide background.
- The items the slide master and layout place behind the slide.
- Text, with bullets, numbering, indent levels, alignment, bold, italic, underline, strikethrough and text colours, set in the standard PDF fonts: Times for serif fonts (such as Times, Georgia or Garamond), Courier for monospaced fonts (such as Courier, Consolas or Menlo), and Helvetica for everything else.
- PNG and JPEG pictures, solid fills, linear gradients (drawn as smooth gradients) and outlines.
- Tables, with merged cells, cell shading and grey cell borders.
- Column, bar, line, area, pie, doughnut and combination charts, drawn the same way as on the canvas. Other charts appear as a grey box labelled “Chart”, and other objects as a grey box labelled “Object”.
- Bookmarks: each slide’s title becomes a bookmark, so PDF viewers can show a list of slides.
- The document title (the presentation’s title property, or its file name) and author.
If every slide is hidden, the PDF has one page saying “This deck has no visible slides.”
What the PDF leaves out
| Item | In the PDF |
|---|---|
| Hidden slides | Left out |
| Speaker notes | Left out |
| Transitions and animations | Not applicable; every shape is shown |
| Empty placeholders | Blank |
Markdown outline
A Markdown outline is a text file of the presentation’s words, organised by slide. It’s useful for reviewing content, pasting into a document, or keeping a copy of your speaker notes.
For each slide, in order:
- A level-two heading with the slide’s title, or “Slide” and its number when it has no title.
- The text of every other shape, read top to bottom and left to right. Paragraphs with a bullet or a number start with
-, indented by two spaces for each indent level. Other paragraphs are written as they are. - The speaker notes, if any, as one line starting with
> Notes:.
For example:
## Quarterly review
- Revenue grew in every region
- Services grew fastest
Figures are unaudited
> Notes: Thank the finance team before moving on.
The outline includes hidden slides and leaves out text in tables. Numbered paragraphs are written as - bullets.
Plain text
A plain-text file lists every slide under a divider line such as --- Slide 1 ---, followed by all the text on that slide: text in shapes, in groups, and in tables (with table cells separated by tabs and rows on separate lines). Text appears in the order the shapes are stacked on the slide, back to front.
The file includes hidden slides and leaves out speaker notes.
Print a presentation
To print, go by way of a PDF:
- Export the presentation as a PDF.
- Open the PDF in your PDF viewer.
- Print from the viewer, where you choose the printer, copies and page range.
Hidden slides aren’t in the PDF, so they aren’t printed. The PDF has one full slide per page.
